Give every open quote a next action
After sharing a reviewed quote, record the service, customer label, area, quote total and stage. Set a follow-up date that suits the customer's request. If they say they will decide next week, use that timing. If the job is urgent, ask when they need a decision and whether the proposed service still fits.
There is no universal timing that guarantees a sale. Treat the dates below as a starting routine to adapt, not a sales promise. Keep customer preferences and agreed contact times in your notes.
| Situation | Next action | What to check |
|---|---|---|
| Quote sent | Set a review date, for example in two working days | Customer's preferred timing |
| Customer has a question | Clarify scope or revise the quotation | Fees, unit type and exclusions |
| Customer accepts | Check schedule and confirm appointment details | Availability, address and access |
| Customer declines | Mark lost and stop the sales follow-up | Record the reason if volunteered |
| Job completed | Mark completed | Any agreed outstanding action |
A first quotation follow-up
Hi, this is [name] from [business], following up on the quotation for [service] on [number] units. Would you like us to clarify anything about the scope or price? If you would like to proceed, share your preferred date and we will check availability before confirming the appointment.
When the customer's timing has changed
Hi, checking whether you still need [service] or would prefer us to close this enquiry for now. If your timing has changed, let us know when you would like to revisit it. The quotation was valid until [date], so we will confirm current pricing and availability before any booking.
Review the tracker at the start of the day
Open Sales tracker and review due opportunities. Update completed actions rather than leaving old dates in place. A quoted job is not a booked appointment; mark it booked only after the details have been agreed and your schedule has been checked.
In iServices, save the quotation, choose its stage and set the next follow-up date. You can copy a follow-up draft for review. Messages are not sent automatically. The free workspace stores data in your browser; members have a separate account-saved workspace.
Learn from outcomes without inventing results
Record whether a job was booked, completed or lost, using the same definitions each time. If a customer shares why they declined, note it respectfully. Review whether the issue was scope, timing or price before changing your sales routine. A tracker makes the work visible; it does not guarantee more enquiries or conversions.
